AI Tools and Your Business: What to Embrace, What to Watch, and Where We Draw the Line

There's real excitement around AI right now, and it's deserved. Tools like Microsoft Copilot, ChatGPT, and Google Gemini are changing how people work, writing faster, analyzing data in seconds, summarizing meetings nobody wanted to sit through. The opportunity is genuine.


But the pace of adoption has outrun the pace of good judgment. New tools are entering the market faster than security and privacy standards can keep up, and businesses are saying yes to things they haven't fully thought through. That gap is where problems tend to show up.


Every Tool Has Access to Something


Before your team installs any AI tool, the right question is: what does this tool actually do with our data?


Every AI tool you use has access to something. Your emails. Your files. Your client records. Your calendar. Some tools process that data locally. Others send it to external servers. Some store it to train future models. The differences matter, and they're not always obvious from a product page.


You don't need to be a software engineer to ask these questions. But someone on your team needs to ask them before you click install, not after.


Where Campfire Fits In


As your IT partner, Campfire can deploy approved applications in your managed environment, configure user access and permissions, and flag security risks when we see them. What we can't do is evaluate every AI platform on your behalf, audit third-party tools for compliance, or take responsibility for how those tools handle your data.


Think of it this way: just as we're not design experts or QuickBooks consultants, we're not AI platform specialists. We're your IT infrastructure and security partner. The decision to adopt any AI tool, and the responsibility for understanding what it does, sits with your team.


That's not us stepping back. It's us being honest about where our expertise ends and yours begins.


A Word on Agentic AI


Standard AI tools like ChatGPT respond to prompts. Agentic AI tools go further: they can send emails, modify files, access databases, and take actions with little or no human oversight. Think of an AI assistant that doesn't just draft a reply but actually sends it.


These tools deserve extra caution. The risks include unauthorized access to sensitive data, unintended changes to files or records, confidential information being sent to external providers, and compliance violations that nobody catches until it's too late.


If your team is considering any agentic AI tool, we'd strongly encourage a conversation with us before deployment. The principle of least privilege applies here: give the tool access to only what it absolutely needs, and keep a human in the loop for any significant actions.


What Falls Outside Managed Services


To be clear about our scope, the following are not included in your managed services agreement:


- Custom AI development, prompt engineering, or workflow automation design

- Security auditing or code review of AI tools

- Troubleshooting AI-specific behaviour, output accuracy, or model performance

- Third-party plugins, marketplace add-ons, or custom API integrations not built into the app by its vendor
